Giving staff POS access
Where: Settings → Users & Permissions → open a user → Security tab → POS Terminal AccessWho: Manager or tenant owner
A user only appears on the POS when you explicitly grant it — with a dedicated POS PIN, completely separate from their dashboard password.
Grant access to a user
- Open Settings → Users & Permissions and click the user.
- Go to the Security tab → the POS Terminal Access panel.
- Set POS Role:
- Cashier — can sell.
- Manager — can sell and approve privileged actions (manager override).
- No access — never appears on a terminal.
- Set a POS PIN — 4–6 digits, entered on the till's keypad.
- Save. On the terminal's next sync (usually within a minute) the user shows up as a selectable cashier.
WARNING
PINs are write-only — the dashboard never displays an existing PIN. Leaving the field empty keeps the current PIN; typing a new one replaces it.
Removing access
Set POS Role to No access and save — the PIN is cleared and the user disappears from terminals on their next sync.
Good to know
- Users without a POS PIN are never sent to terminals — your back-office accounts don't pollute the cashier list.
- The POS PIN is not the dashboard password and never touches it. A leaked PIN only affects the till, not the account.
- New tenant? Onboard staff to the till in one pass: create users → set role + PIN → terminals import them automatically.
Troubleshooting
- "User doesn't appear on the POS" — almost always a missing PIN or No access role. Set both, save, wait one sync cycle.
- "Wrong PIN" — PINs are per-user; retype a fresh one in the panel and save.
